Design Implications for ENV Access: A Human-Centred E-Management Platform for Outreach Coordination

Abstract
Often, academic institutions struggle with managing outreach documents, tracking events, coordinating digital teams, and sharing resources. This necessitates a centralized E-management system that addresses these needs. When designing an E-management system, it's crucial to consider both managers and members, as they create and consume content. Users might be accustomed to decentralized systems, so centralizing the system must be carefully designed to avoid rejection. This paper details the design process of co-creating ENV Access, an E-management prototype that relies on SharePoint for document version control, tracker lists for e-collaboration, and co-development of outreach resources. ENV Access aims to simplify communication and foster seamless collaboration among students and staff, leading to integrated, efficient outreach. To refine the prototype, interviews and a school-wide hybrid board meeting on Teams, accessible to 131 participants, employed human-centred design (HCD). Users identified key design specifications based on their needs, including centralized document storage, version control, tracker lists for project oversight, and customizable outreach resources. The paper concludes with recommendations for further refinement and implementation of these findings in higher education institutions.
